WHAT WE NEED

The Company is your employer and what is known as the ‘Controller’ of the personal data you provide to us.

We will collect basic personal data about you, which does include any special categories or personal information (often known as ‘sensitive personal data’)

This information includes the lies of your name, telephone numbers, address, email address, National Insurance number and bank details. Along with health information, G.P. fit notes, holiday requests, appraisals and personnel notes. We also hold information in respect of emergency contacts and your G.P. details

WHY WE NEED IT

We need to know basic personal data in order to carry out the obligations and duties under your contract of employment. Some information is required lawfully and some information is gained and held in the interests of staff management and vital interests.

WHAT WE DO WITH IT

Our employees with H.R. and Payroll positions will process all the personal data we hold about you. This information is held securely and accessed only by authorised employees. Any paper documents are kept in your personnel file which is located in a locked cabinet and again accessed only by authorised employees.

Some personal data, such as your name, National Insurance number and email address will be passed onto third-parties, for example, to an external payroll provider, external H.R. / H & S Consultancy, H.M.R.C. and Pension Provider as part of meeting our legal obligations.

We may also use your personal data to keep in contact with you, within normal business practice, during absences or if it is required for business purposes.

We take reasonable steps to ensure that your personal data is processed as securely as possible and sensitive information will only be available for those purposes it is required for.

HOW LONG WE KEEP IT

All processing of your personal data will cease once your employment has terminated and you have received your final salary. We are required by law to retain some information in respect to your employment but we will generally keep all your personal data for a period of 6 years, after which time it will be destroyed or anonymised, if no longer required for lawful purposes.

YOUR RIGHTS

You have the right to understand what personal data we hold about you and you have the right to request this information. There is also a requirement to keep these details accurate and up to date and you have the right for some data to be erased (the right to be ‘forgotten). You also have the right to restrict what data is passed on, unless it is lawfully required to fulfil our duties
